1. Parties and approved use
The identified renter proposes recurring use of the selected space at The Crescent Academy, 1112 Broad St., Endicott, New York. Only activities, areas and dates expressly approved in the final agreement are authorized. Submission is a request for review and does not execute a rental contract.
2. Schedule and access
The approved schedule must identify dates, access start/end times, exclusions and seasonal changes. Access includes setup and cleanup. Normal recurring access begins at 5 PM on school days and 7:30 AM on non-school days, with departure by 11 PM. Different times require express written TCA approval; a requested exception is not permission.
3. Rates and monthly billing
TCA will confirm the rate, pricing basis, rounding method, billable use, payment deadlines and deposit in the final agreement. Use includes all time occupied by the renter and guests, including setup and cleanup. Monthly billing reflects actual use and any approved cancellation charges. A proposed schedule is not a guaranteed minimum purchase unless expressly agreed.
4. Acceptance and payment
No reservation or tentative hold is created by this request. Access begins only after TCA accepts the schedule, both parties execute the final agreement, and required deposit, initial payment and insurance documentation are received. Later invoices follow the approved recurring payment terms. Electronic-check authorization alone does not confirm receipt of payment or a reservation.
5. Cancellations and changes
TCA sets notice periods, cancellation charges, Owner cancellations and termination provisions in each approved agreement. Additional dates and extensions require advance approval. Possession of keys does not authorize extra access. No replacement-facility commitment is granted by this request.
6. Renewal
Any renewal priority, right of first refusal and negotiation period must be expressly stated in the approved agreement. No renewal right is granted by this request.
7. Supervision and no subletting
The renter or an authorized responsible adult must be present throughout every session and supervise participants and guests. Rental access may not be transferred, proxied or subleased without written TCA approval.
8. Authorized areas and security
Guests may enter only the areas and adjoining facilities approved by TCA. Doors must not be left ajar unattended. At session end, the responsible adult must verify that everyone has left and secure the approved areas as directed. Report missing keys and any door or lock that cannot be secured. Emergency exits must remain operable while occupied.
9. Keys
TCA determines authorized holders, key issuance and access instructions. Do not copy keys or change locks without approval. Return all keys at the end of the agreement or as required by its terms.
10. No storage and cleanup
Storage is not included. Remove belongings, equipment, supplies, signs and trash after each session, restore furniture and leave facilities as found. Any overnight or between-session storage requires a separate written addendum identifying space, permitted items, access and conditions. This request grants no storage rights.
11. Property and maintenance
TCA facilities and equipment must not be altered without permission. Repairs, upgrades or maintenance by the renter require TCA instruction and approval. Each party controls its own equipment. TCA retains responsibility for building upkeep; specific service arrangements belong in the approved agreement.
12. Activity restrictions
Alcohol, tobacco and illegal substances are prohibited on the property. Kitchen use, equipment and activity-specific conditions must comply with the approved agreement. Religious activities, public filming, livestreaming and press involvement must be disclosed for advance approval. Only the approved activity may take place.
13. Sport-specific safeguards
TCA may require a sport-specific addendum. Cricket requires a fully enclosed cage/net, a batting mat protecting the floor, and tennis or taped tennis balls only. Hard cricket balls and play outside the netted area are not permitted. Additional safeguards must be approved before use.
14. Insurance, liability and damage
TCA will specify required insurance, evidence of coverage, liability and indemnification provisions in the approved agreement. Self-insurance is not automatically accepted. Responsibility for damage and extraordinary cleanup, deposit deductions, refund timing and balances due is governed by that agreement.
15. Media and endorsement
Public filming, livestreaming, news media access and use of the TCA logo require prior written permission. Identify The Crescent Academy as the venue and the renter as organizer. Do not imply TCA sponsorship or endorsement. No recording is permitted in restrooms or restricted areas. The renter must obtain necessary permissions for recordings.
16. Confidentiality and disputes
Negotiated pricing and related confidential information are governed by the approved confidentiality provisions. Disputes are governed by New York law. No special concession in another renter’s agreement applies unless included in this renter’s final agreement.
17. Final agreement
TCA will issue the approved schedule and commercial terms for review and execution. The final agreement and expressly approved addenda define the rental. Notes and requests entered here do not override them.
